Degree Completion
The following information and checklists are provided for students who are completing their program and are ready to file their intent to graduate.
Graduation
Environmental Science and Policy requests that your final defense and research papers be completed and ready one week prior to the university deadline. Our target date is April 23rd, 2010.
Checklist for Graduate Students:
Complete the following steps 4 weeks in advance :
For Students planning to graduate, please file your intent in a timely manner.
FOR ALL FILLING GRADUATES:
- ____ File a Graduation Intent through the PatriotWeb system.
- ____ Students should be familiar with all graduation policies contained on the Registrar’s graduation website. Questions about graduation procedures can be directed to espgrad@gmu.edu.
- ____ Update your current mailing address, phone number, and email address at Patriot Web.
- _____ Select a defense date with your committee. _________________
- _____ Identify a location for the oral defense of your thesis, project, or dissertation.
For assistance with location and reservation information, please send an email to the ESP Graduate Program mailbox.
- _____ Reserve a laptop and/or an LCD projector in the ESP office. This can be arranged by sending an email to the ESP Administrative Assistant or by calling 703-993-1043.
- Send an electronic copy of your signature page to Gail Hodges at the College of Science and please cc to the ESP Graduate Program for formatting approval.

THESIS - SPECIFIC ANNOUNCEMENT INSTRUCTIONS:
_____ 15 days prior to student's defense, please send an email to the ESP Graduate Program and cc a copy to the ESP Webmaster with the subject line heading to include your name and date of defense : (sample: Dissertation defense John Doe 03/06/2010). In this email, please include:
Your full name
Date, time and location of defense
Title of Thesis
Thesis director and committee names
Abstract (1 paragraph is fine)
DOCTORAL - SPECIFIC DISSERTATION INSTUCTIONS :
-MANDATORY FORMATTING REVIEW + FINAL REVIEWAS EARLY AS POSSIBLE even if you only have partial chapters written, Students completing dissertations are required to schedule a formatting review with Sarah Patton, the GMU Dissertation and Thesis Coordinator, in Fenwick library. She can be reached at 703.993.2222 or udts@gmu.edu. Formatting guidelines and submission information are available online.
- _____ 15 days prior to student's defense, send an email to the ESP Graduate Program mailbox with the subject line heading to include your name and date of defense : (sample: Dissertation defense John Doe 03/06/2010 ) In this email include:
- _____ 7 Days prior to your defense, please deliver a copy of your dissertation to the reference desk at the Johnson Center Library.

CONTINUED INSTRUCTIONS FOR All GRADUATING GRADUATE STUDENTS:
-
_____ Insure all “IP” (In Progress) and "IN" (Incomplete) grades are resolved by the end of the semester. Contact your advisor and review your transcripts.
- The due date for dissertation and thesis submission to Fenwick Library is Friday, December 10, 2010, by 5:00 p.m. Submisssions after this date will qualify for graduation in May 2011.
- Electronic Submission is now available. or
- Traditional method:
- Two copies of the entire dissertation (signature sheet through vita) unbound on white 100% cotton bond paper (20 or 24 pound) with original signatures in black ink on both signature sheets, along with a complete copy of the dissertation on regular copy paper, must be submitted to Sarah Patton in Fenwick Library .
- Your committee, graduate program director(dissertations only), department chairperson, and the COS Assistant Dean for Graduate Academic Affairs, and the COS Dean must sign your dissertation before it is submitted to the library. PLEASE ALLOW TIME TO OBTAIN ALL SIGNATURES OUTSIDE OF YOUR COMMITTEE.
- Once you have obtained the signatures of your committee and departmental administrators, bring the signature page to the Graduate Academic Affairs Office in the COS Dean's Office - Science and Tech I Room 100 for the Associate Deans’ signature. The next signature will be the COS Dean in Research 1 Room 280.
IF YOU ARE UNABLE TO PERSONALLY PROCESS YOUR SIGNATURE PAGES DUE TO WORK OR TRAVEL CONFLICTS, CALL THE GRADUATE SERVICES OFFICE. THERE ARE NO EXTENSIONS OR EXCEPTIONS.
